This Privacy Policy explains how Hired by Noon (“we,” “us,” “our”) collects, uses, stores, and protects your personal data when you use our services via the Hired by Noon platform (“Platform”).
We are committed to protecting your privacy and complying with the General Data Protection Regulation (GDPR) and other applicable data protection laws.
1. Who We Are
Hired by Noon is a software-as-a-service platform operated by Unicorn Machine OÜ (“we,” “us,” “our”), a company registered in Estonia (registry code: 17188733). The platform provides video-based candidate screening, AI-powered applicant evaluation, technical assessments, and automated job matching.
2. What Data We Collect
We collect the following categories of data:
a. Applicant Data
- Name, email, and contact details
- Video and audio responses submitted to interview questions
- CV and professional background
- Personality indicators and communication style
- IP address and device information
b. Interview and Assessment Data
- Audio and video recorded during live and technical interview sessions, including the merged session playback an employer can review afterwards
- Written transcripts generated automatically from those recordings
- Code you write and run in the in-browser editor during a technical assessment, together with the results of running it
- Assessment integrity signals — for example how much text was pasted into the editor, when it was pasted, and how much active typing took place
- AI-generated scores, evaluations, and summaries derived from the above
c. Employer Data
- Company and recruiter details
- Job listings and screening configurations
d. Usage, Device, and Analytics Data
- Session activity
- Browser and system metadata
- Pages viewed, referring source, and how features are used
- Interaction data captured by our session-analytics tools (mouse movement, clicks, scrolling, and navigation) — see section 5
e. Beta Access and Marketing Data
If you request access to our private beta, we collect your name, work email, company name, job title, and company size so we can review and respond to your request.
3. How We Use Your Data
- Facilitate job applications and hiring decisions.
- Run interview, assessment, and evaluation stages configured by employers.
- Match applicants to current and future job opportunities.
- Help employers assess whether an assessment submission reflects the candidate’s own work.
- Improve the platform with analytics and insights, including diagnosing usability problems.
- Offer employers best-fit candidates based on profile matching.
- Generate anonymised data for performance reporting.
- Review and respond to beta access requests, and contact you about your request.
4. Legal Basis for Processing
We process data based on the following legal bases, depending on the purpose:
- Contractual necessity — to facilitate job applications, screening, and hiring decisions.
- Legitimate interest — to operate and secure the Platform, improve it, generate anonymised analytics, and offer applicants relevant future opportunities.
- Consent — to use your data for purposes beyond your original application, such as sharing your profile with other employers, and to use non-essential cookies and analytics technologies where the law requires consent.
- Legal obligation — to comply with applicable law, including requests from authorities.
6. Interview Recordings, Transcripts, and Assessment Integrity
Depending on how an employer configures a job, the Platform may:
- Record the video and audio answers you submit to interview questions.
- Record audio and video for the duration of a live or technical interview session, and merge those recordings into a single playback the employer can review.
- Generate a written transcript of what you say using automated speech-to-text.
- Capture the code you write and run during a technical assessment.
- Record assessment integrity signals so employers can judge whether a submission reflects your own work.
Your browser asks for your permission before your camera or microphone is used, and recording cannot start without it. Integrity signals describe activity inside the assessment editor only — the Platform does not monitor other applications, other browser tabs, or anything else on your device.
Recordings, transcripts, and assessment artefacts are stored encrypted. They are visible to the employer running the role you applied to, and to our staff only where necessary to operate or support the Platform.
7. Automated Decision-Making and Profiling
The Platform uses AI models to help evaluate and screen applicants. This can include analysis of your video and audio responses and their transcripts, your CV and profile information, your technical assessment submission and its integrity signals, and a comparison of the applications you have submitted through the Platform to identify patterns in how you present yourself. Depending on how a job is configured by an employer, this evaluation may inform or contribute to hiring decisions.
Some job configurations also apply automatic filters — for example a required location, work authorisation, or salary range — that can reject an application without a human reviewing it first.
Where a decision is based solely on automated processing and produces legal or similarly significant effects on you, you have the right to:
- Obtain a meaningful explanation of the logic involved.
- Request human review of the decision.
- Express your point of view and contest the outcome.

9. AI Providers and Model Training
We use third-party AI providers to run evaluation, summarisation, and speech-to-text transcription. Data we send to these providers is processed through their business APIs under agreements that do not permit it to be used to train their models, and it is not added to any publicly available model.
We may use anonymised and aggregated data — which cannot be linked back to you — to measure and improve the accuracy of our own evaluation logic.
10. Data Retention
We will retain your personal data for as long as is considered necessary for the purpose(s) for which it was collected, including as required by applicable law or regulation.
If your application is unsuccessful, we may retain and use the information you provided via the Platform for a reasonable period of time to deal with any matter which may arise in connection with your application, for the purpose of contacting you regarding other employment opportunities, and for our legitimate business purposes.
Interview recordings, transcripts, and technical assessment artefacts are kept for as long as the related application is live, and for the period described above once it closes. You can ask us to delete them sooner.
Beta access requests are kept until the beta programme ends or you ask us to remove your details. Analytics and session-recording data is held by the relevant provider under its own retention schedule and is not linked to your application record.
We may keep your personal data for longer periods where extended retention is required by law or regulation, or in order to establish, exercise, or defend our legal rights. Anonymised data may be retained indefinitely.
11. International Data Transfers
Some of our service providers — including our AI, analytics, hosting, and storage providers — are based in or process data from the United States, so your data may be accessed from outside the EU. We use appropriate safeguards for these transfers, including Standard Contractual Clauses and, where applicable, the EU–US Data Privacy Framework.
12. Your Rights under GDPR
You may:
- Access your data
- Correct or update information
- Request deletion (“right to be forgotten”)
- Restrict processing
- Object to profiling
- Request data portability
- Withdraw consent at any time
- Lodge a complaint with a supervisory authority — in Estonia, the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon), or your local data protection authority

13. Data Security
We use:
- Encryption in transit and at rest
- Access controls scoped to the employer that owns a role
- Audit logging of sensitive actions
- Secure infrastructure
While we strive to protect your personal data, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
14. Children’s Data
The Platform is intended for people aged 18 and over. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact privacy@hiredbynoon.com and we will delete it.
15. Changes to This Policy
We may update this Privacy Policy. Any material changes will be notified via email or the Platform.
